1 WHO IS RESPONSIBLE FOR YOUR PERSONAL DATA?

For some specific recruitment assignments, we may be joint controllers with the clients recruiting and offering the service. In such cases, the company offering the service may also be the controller for the processing of personal data.
2.1 PERSONAL DATA AND PURPOSE OF PROCESSING
Customers and partners
We collect data when you become a customer, prospective customer or partner of ours by contract. Data may also be collected through internal networks or from third parties, such as public registers or social media. The data we may collect are name, address, email address, phone number, picture and IP address.
The personal data we collect about you will be used to administer your relationship with us and to fulfill our contract with you as our customer or partner. Furthermore, in order to develop, evaluate and improve our business purposes, offers, communication and our operations, we may collect and process your personal data. The legal basis for our processing of your personal data is that it is necessary for our legitimate interest.
Some personal data about you as a customer or partner may also be processed because we have a legal obligation to fulfill, for example, as a result of our accounting obligations or other obligations imposed on us by law.
Candidates and consultants
We collect data about you as a candidate or consultant when you, for example, fill in our contact form in our recruitment tool, when you otherwise contact us or when we contact you. Data may also be collected through internal networks or from third parties, such as public registers or social media. The information we may collect is name, social security number, address, e-mail address, phone number, picture and IP address.
As a candidate or consultant, we may process your personal data for the purpose of offering you a job/assignment or contacting you in connection with a job offer or potential assignment. The legal basis for processing this personal data is our legitimate interest in contacting you in connection with a recruitment or consultancy assignment.
Furthermore, as a consultant, we may process your personal data to fulfill our employment or consulting contract with you. The legal basis for our processing of personal data is that it is necessary for the performance of our contract with you or to take steps prior to entering into our contract.
Some personal data about you as a candidate or consultant may also be processed because we have a legal obligation to fulfill, for example, as a result of our accounting obligations or other obligations imposed on us by law.
In a recruitment or consultancy process, we produce standardized documentation containing personal data about you as a candidate or consultant. The documentation contains only the information that is absolutely necessary for the process. The documentation may consist of summaries, interview notes and notes from reference checks. In special cases, we may need to carry out background checks, credit checks or other checks on you as a candidate or consultant. In such cases, you will be asked to provide consent before checks are carried out.
Furthermore, as a candidate, you may be asked to give your consent to carry out personality and/or competency tests of the usual kind, which are provided by an external provider in accordance with current industry practices. Your personal data may be transferred to and processed by the supplier for the purpose of conducting such tests. The supplier is a data processor in relation to us.
3 SECURITY AND SCREENING
We have taken appropriate technical and organizational measures to protect your personal data. We use established suppliers of recruitment tools, as well as other systems and services, that are widely accepted, well proven and generally used in the recruitment industry. We set high standards for our suppliers to ensure that our tools and IT environment are secure and intrusion-proof, including industry-standard firewalls and password protection. Our system suppliers are located in the EEA, which means that personal data is stored on GDPR-secured servers.
The information we collect about you will be kept for the duration of our relationship and for no longer or to a greater extent than is strictly necessary. After the relationship has ended, we will keep the personal data for as long as a legal claim can be made in relation to the contract or to the extent that it is necessary to keep the data to comply with legal requirements.
Personal data that is and has been relevant to a recruitment process is only stored for as long as it is necessary for the process and then up to 24 months after the end of the recruitment in accordance with labor law grounds (discrimination legislation) for how long claims can be made. We cull our candidate database to keep it fit for purpose and up to date.
4 DISCLOSURE OF PERSONAL DATA
Personal data that we process about you as a candidate or consultant in connection with a recruitment may be transferred to the client whose recruitment we are handling. We will only transfer the personal data required in relation to the point in the recruitment process you are in. Thus, only necessary personal data will be transferred to the client.
Otherwise, we do not sell, trade, or otherwise transfer personally identifiable information to outside parties. Companies that process personal data on our behalf will always enter into a data processing agreement with us to ensure that a high level of protection for your personal data is maintained by our partners.
The personal data we collect under this Policy will not be stored and/or processed outside the EEA as a general rule. In order to ensure the protection of your personal data should such a transfer take place, we will, where necessary, take adequate measures to ensure lawful transfer.
Your personal data may be disclosed to third parties when required by law or other regulatory decisions. We may also disclose personal data to third parties, such as the police, the tax authorities or any other authority, in the event of a criminal investigation or if we are otherwise required to provide such information by law or government decision.
5 YOUR RIGHTS
You have the right, in accordance with applicable data protection laws, to request access to the personal data processed about you at any time. You also have the right to obtain the rectification of inaccurate personal data concerning you, to request that we erase your personal data, to restrict our processing of your personal data, to exercise your right to data portability and to object to the processing of your personal data. If the processing would be based on consent, you have the right to withdraw your consent to that processing at any time.
